IRFLECTORS ("IRFLECTORS", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we may collect, use, and protect information when you visit irflectors.com, contact us, or use our services.

1. Information We May Collect

• Contact details you voluntarily provide, such as your name, email address, phone number, company name, and messages.
• Information you provide when requesting a consultation, automation service, or other business inquiry.
• Basic technical information such as browser type, device type, pages visited, and approximate usage information when collected by website infrastructure or analytics tools.

2. How We Use Information

We may use information to respond to inquiries, provide and improve our services, communicate with you about requested services, maintain website security, and meet legal or operational requirements.

3. WhatsApp and Third-Party Services

If you choose to contact IRFLECTORS through WhatsApp or another third-party platform, that interaction is also subject to the privacy practices and terms of that platform. We do not control third-party privacy policies.

3a. WhatsApp Assistants We Operate for Client Businesses

IRFLECTORS builds and operates AI WhatsApp assistants on the WhatsApp Business Platform (Cloud API) for client businesses. When a business connects its WhatsApp Business account to IRFLECTORS (for example through Meta's Embedded Signup), we receive the access needed to send and receive messages for that business, such as its WhatsApp Business Account ID, phone number ID and an access token. We use this access only to provide the service the business requested.

When customers message such a business, we process the messages (text, voice notes and images), the sender's phone number and WhatsApp profile name to generate replies, book appointments and keep a conversation log for that business. To do this we use service providers including Meta (WhatsApp), OpenAI (AI replies, voice transcription and image understanding), Google (Sheets and Calendar) and our hosting provider. The client business is responsible for its own customer data; we act on its behalf.

AI conversation memory is automatically deleted after 90 days. Conversation logs kept in a client's own Google Sheet remain under that client's control.

4. Sharing of Information

We do not sell personal information. We may share information with service providers or technology platforms when reasonably necessary to operate our business, provide requested services, maintain security, or comply with applicable law.

5. Data Security

We take reasonable administrative and technical measures to protect information. No internet transmission or storage system can be guaranteed to be completely secure.

6. Data Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected, business records, dispute resolution, security, or legal obligations.

7. Your Choices

You may contact us to ask about information associated with your inquiry or to request correction or deletion where applicable and subject to legal or operational requirements.

7a. Data Deletion Instructions

You can ask us to delete your data at any time:

• Customers of a business we serve: send a WhatsApp message or email to irflectors@gmail.com with the subject "Delete my data" and the phone number you used. We will delete your conversation memory and log entries held by IRFLECTORS within 30 days and confirm by reply.
• Client businesses: to disconnect your WhatsApp Business account, remove IRFLECTORS from your Meta Business settings (Business settings > Integrations / Partners) and email us. We will stop processing, revoke our access and delete your configuration and stored data within 30 days, except records we must keep by law (for example invoices).
